We have a feature that allows Administrators to upload a student spreadsheet to our Customer Service Team, directly through the program. The tool can be accessed from an Administrator's dashboard and provides a simple method for adding multiple students, or making changes to your subscription.
This tool adds security to your students' data, as the information is transferred over a secure connection, directly to our database.
The Migration Upload Tool becomes available in the couple of months before your school is due to provide updated student details for the new school year.
**PLEASE NOTE: STUDENTS WHO ARE NOT LISTED ON THE MIGRATION SPREADSHEET ARE DELETED BY THIS PROCESS. PLEASE ENSURE ALL STUDENTS ARE INCLUDED ON YOUR MIGRATION SHEET**
The Migration Upload Tool is accessed from an Administrator's dashboard, under the Users tab, selecting Add or Migrate in Bulk.
Begin Migration will access the next page, where you can download a copy of your existing students for easy editing. Simply change the details of the students, remove any who have left the school and add any new students who require a LiteracyPlanet login.
We do prefer to upload your student data as a single spreadsheet, as this reduces the chances of our system mis-aligning student details, or duplicate accounts being created for students. We also understand that it is not easy for someone to co-ordinate many class teachers to provide a completed spreadsheet at the same time. We have catered for this issue, with our partial upload capability. Once you have received a spreadsheet from a class teacher, you can upload it via the Tool, where it will be stored until you tick the checkbox "We have uploaded all the spreadsheets that are required for the migration". These will then be compiled and if any discrepancies or issues are found, you will be contacted prior to upload.
Once you have confirmed that all spreadsheets have been supplied, you will need to acknowledge that any existing student who is not on the spreadsheet will be deleted.
Once a student is deleted, only LiteracyPlanet staff can restore that account. Creating a new student of the same name will not restore the student's progress and achievements.
During the upload process, our system attempts to match existing students against the data on the spreadsheet. If a student appears similar to this check, they are then referred to a manual check by one of our staff, before any data is rolled over. We ask that if any student needs a change to their name, that the change is made manually, BEFORE the upload is processed, as this will affect the matching process. This can be done from the Managing Students page. Our system will not alter the name of an existing student, based on the data included on your spreadsheet.
Your New Year Migration should be a source of truth for the student accounts that are to be included in your school's subscription. As teachers have the ability to add individual students, the migration can be a great reference as to who should have an active account, should subscription numbers vary.
